UCCR ADMINISTRATOR JOB DESCRIPTION

 

Title: UCCR Administrator P/T

 

The Utah Council on Conflict Resolution (UCCR) is recruiting a part-time administrator to manage the operational affairs of the Council. UCCR is a state-wide membership organization for individuals interested in promoting conflict resolution and networking with professionals in the field.

 

Duties include: processing member applications; managing bank transactions; developing, maintaining and updating the membership list; checking messages; answering and returning phone calls; updating the website; scheduling and coordinating board meetings; taking minutes at UCCR meetings; distributing announcements; and coordinating monthly brown bag events and the annual symposium. The Administrator works with all stakeholders: UCCR members, board members and vendors.

 

The successful candidate must demonstrate knowledge and ability in computer literacy including: Microsoft Office (Word, Excel, Publisher, PowerPoint and Outlook) and web site management. The administrator works independently with limited direct supervision, is attentive to details, and demonstrates organizational skills relating to prioritizing and managing multiple tasks, particularly during the months prior the symposium.  The working schedule of the Administrator is flexible and hours vary; some evenings and weekends may be required. On average the Administrator may work between 6-10 hours per week; hours may reach 40 hours per week prior to the annual UCCR Symposium. Preference is given to candidates with experience and or knowledge of Alternative Dispute Resolution methods and practices. 

 

Salary is $14.00 to $16.00 per hour.

 

UCCR ADMINISTRATOR DUTIES

Monthly/Weekly duties include the following. (The length and volume of tasks increases between January and June with planning and follow up for the annual symposium.)

  • Maintain current membership information on website, Constant Contact, address labels and membership list.

  • Follow up with members to collect dues.

  • Build and maintain a good relationship with members.

  • Provide updates and resources to the membership.

  • Maintain the website. Update contact information, dates of events, information on Board.

  • Send out Constant Contact announcements for UCCR and other entities. (Confirm with Board Chair for any requests from membership prior to sending out announcements)

  • Communicate timely with the UCCR membership, Board members and others via email, phone and in person.

  • Maintain schedule, send notices and post the calendar for download to the website, including dates for Brown Bag events, Fishbowl events, Family or Workplace Section meetings and Board meetings. Prepare brief notes from Brown Bag, Family and Workplace Section meetings and post them on the website.

  • Assist with planning, organizing, and publicizing Brown Bag Events. Coordinate with the Brown Bag Chair to ensure CLE and ADR roster training certificates of attendance, and prepare an attendance list for each session. Verify room availability/rental of Law & Justice Center.

  • Prepare Board Agenda and send to Board members. Prepare meeting minutes and distribute to Board members. (Work closely with the Board Chair for agenda items and /or meeting handouts.) Include financial documents from the financial committee to present to the Board.
  • Follow up on tasks assigned during UCCR Board meetings.

 

Symposium Planning Tasks

  • Work closely with the Symposium Committee and Event Chair to plan and coordinate dates, venue, catering, speakers/biographies, materials, CLE/Roster training credit, registration, Peacekeeper Award, Educators Scholarship Award, and follow up with vendors/bills/services.

  • Update and maintain registration using an Excel document on Google Docs shared with the financial committee to confirm payments.
